Details of Internship:

The IAS Educational Fund & Member Relations Intern will be based at the IAS Secretariat in Geneva, Switzerland and will report to the Director, Governance & Member Relations. The internship is full-time and will last 6 months from 1 February 2017 to 31 July 2017.

Purpose of the Internship:

The IAS Educational Fund & Member Relations Intern will support the IAS Educational Fund and Member Relations teams in the day-to-day activities. These activities include (1) preparing for workshops, symposia, and experts/implementers meetings; (2) supporting the IAS Educational Fund scholarship programme; (3) preparing for the annual IAS Members’ Meeting, regional members’ meetings, and the IAS exhibition booth at the 9th IAS Conference on HIV Science (IAS 2017) in Paris in July 2017; (4) supporting other membership related activities, including database improvements, recruitment, retention and re-engagement efforts.

Main Responsibilities:

1) Support the planning of IAS Educational Fund workshops, symposia and experts/implementers meetings:

  • meeting logistics
  • coordination of meeting material

2) Support the IAS Educational Fund scholarship programme:

  • coordination of travel and accommodation for scholarship recipients
  • communication with scholarship applicants and recipients

3) Assist in the preparations for the annual IAS Members’ Meeting, and regional members’ meetings at IAS 2017:

  • coordination of meeting rooms, catering and meeting material

4) Provide support in preparation for the IAS exhibition booth at IAS 2017:

  • coordination of signage and giveaways
  • onsite support

5) Provide support for database improvements, membership recruitment, retention and re-engagement efforts:

  • quality assurance of membership data
  • background research/benchmarking

6) Correspond with IAS members by email/phone and follow-up on requests

Perform any additional tasks as requested by the Director, Governance & Member Relations.

Academic Qualifications:

  • Currently studying or recently graduated in social science, public health, development, international relations or a related field is favorable. Candidates expressing a keen interest in this area of work will also be considered.

Experience: (previous internships)

  • Experience in administration, project management, marketing and event organization a plus;
  • Experience working in a culturally diverse environment a plus.

Skills/Competencies:

  • Highly organized and systematic, with meticulous attention to detail;
  • Strong time management skills, and the ability to work efficiently under pressure and meet deadlines;
  • Ability to work independently, and have an aptitude for multi-tasking;
  • Strong diplomatic skills and customer service attitude;
  • Ability to digest and summarize large amounts of information;
  • Advanced computer skills in the Windows environment (particularly Microsoft Word, Excel, PowerPoint and Outlook);

Details of Internship:

The intern will be based at the IAS Secretariat in Geneva, Switzerland and will report to the ICT Manager. The internship is full-time and will last 7 months from 1 February 2017 to 31 August 2017.

Purpose of the Internship:

Under the direct supervision of the ICT (Information Communications Technology) team, the internship will consist of participating in the IAS 2017 Conference ICT onsite Project in interacting with the different project constituents and its suppliers. The ICT intern will also be in charge of implementing a tool to do the follow-up of the IAS 2017 Conference ICT onsite need.

Main Responsibilities:

  • Implementing the NeedIt website;
  • Supporting staff in the office in their day-to-day tasks (helpdesk, training);
  • Supporting ICT administrative tasks (users/mailbox creation, phone line configuration);
  • Collecting ICT needs from staff and consultants;
  • Supporting the ICT Project Manager, Systems in the daily communication and negotiation with the IT suppliers;
  • Helping in budget review and updates based on the effective needs;
  • Preparing materials to be shipped to the conference;
  • Searching for mobile operator onsite and preparing appropriate documentation for the selection;
  • Preparation/optimization of the PC image templates to be deployed in the office for staff and at the conference.

Academic Qualifications:

  • Currently studying or recently graduated in Information Technology (BS).

Experience: (previous internships)

  • First experience with C#/.NET web technology. .Net MVC would be a plus;
  • First experience with AUTOCAD 2011LT or willingness to learn;
  • IT Systems / Users Helpdesk;
  • Some first exposure to HIV/AIDS prevention, treatment and care issues would be an asset.

Skills/Competencies:

  • Acquaintance with Microsoft Windows Server 2008 R2/ Windows Server 2012 R2;
  • Ability to troubleshoot Microsoft office suite 2010;

Details of Employment:

The Associate C&E Project Manager position will be based in Geneva, Switzerland and will report to the Director, Conference and the Acting C&E Manager. The position is open-ended and full-time.

Purpose of the Position:

The incumbent is responsible for assisting with the logistics/organization of the IAS/AIDS Conferences. He or she works closely with a Project Manager for each of the below listed projects as needed and requested by the Line Manager or Acting C&E Manager.

Main Responsibilities:

The incumbent may coordinate and assist with the following projects:

  • Volunteers– coordinate the volunteer project including setting up the application system, handling the recruitment process, liaising with all IAS staff regarding their needs and schedule the volunteers accordingly, coordinating the back packing and the kick off meeting (for volunteers), along with an C&E Assistant;
  • Bag Inserts– provide guidance and coordinate the bag inserts, check bag inserts onsite and make sure they are delivered on time for the bag packing;
  • Hostesses– select and liaise with the supplier, liaise with all IAS staff regarding their needs; create hostess schedule; deliver onsite coordination and organize the hostess trainings;
  • Interpretation– select and liaise with the supplier, liaise with all IAS staff regarding their needs; create interpretation schedule; deliver onsite coordination;
  • Childcare– select and liaise with the supplier; coordinate set-up of onsite structure;
  • Accessibility– ensure the conference is accessible to people with disabilities and - depending on budget - provide services such as Braille printing, sign language interpretation, wheelchairs rental, etc., make sure all the information regarding specific accessibility needs is available online and onsite;
  • Social Responsibility– ensure CSR is taken into consideration within the IAS office and for the conferences to limit impact on our environment, select and liaise with an organization for the Local Charitable Giving Programme, coordinate the Onsite Donation Programme;
  • Official Airline– select and liaise with the airline, provide relevant information for the website;
  • Future Destinations– destinations research and assist with the process.

Perform any additional tasks requested by the Line Manager or the Acting C&E Manager.

Academic Qualifications:

  • A degree in business, events or hospitality management, or a related field is favorable.

Work Experience:

  • At least 2 years’ experience in working with conferences, seminars, workshops, meetings, committees or events;
  • Experience working for international organizations or abroad, a plus;
  • Experience working with volunteers, a plus;
  • Experience working with online systems, a plus.

Skills/Competencies:

  • Attention to detail;
  • Ability to work independently and handle many tasks simultaneously;

JIAS is actively involved in capacity building of less-experienced authors offering professional development opportunities such as workshops and online courses.

Main Responsibilities:

  • Supporting the editorial workflow, for example by helping to coordinate and expedite the online peer review process;

Details of the Internship:

The internship is based at the IAS Secretariat in Geneva, Switzerland. It is full-time and will last 9 months from 1 March 2017 to 30 November 2017. The intern will report to a Research Officer in the HIV Programmes and Advocacy Department.

Purpose of the Internship:

The IAS Industry Liaison Forum (ILF) promotes and facilitates the full contribution of the biomedical industry to the global HIV response with a focus on expediting the development, approval and eventual uptake and utilization of HIV prevention, diagnostics and medicines. The ILF collaboration platform focuses on two areas: paediatric HIV and regulatory affairs.

Complementing its existing programmes, the IAS will strengthen its contribution to the broader global health agenda, and will increasingly support the recognised synergies between HIV and other disease areas. In particular, the HIV co-infections and co-morbidities work stream will primarily focus on HIV/HCV co-infection, HIV/TB co-infection, and HIV/NCDs co-morbidity.

The IAS is seeking an intern to work within the HIV Programmes and Advocacy Department under the direct supervision of a Research Officer. The intern will be involved in a diverse set of activities related to the ILF and HIV co-infections and co-morbidities, and will get insights into project management, event organization, reporting and strategic planning, as well as knowledge of the HIV epidemic and of the different stakeholders (including industry, academia, governmental and intergovernmental organizations, NGOs, etc.).

Main Responsibilities:

Potentially also including, but not restricted to:

  • Participating to the development of an online database on actual timelines of WHO Prequalification of In Vitro Diagnostics and WHO Prequalification of Medicines;
  • Contributing to a broad consultation of the ARV industry (both originators and generics) on successes and challenges of WHO Prequalification of Medicines, informing the development of a peer-reviewed commentary;
  • Drafting technical documents (e.g., briefing notes on organizations and persons, concept notes for different activities, slide sets, minutes, surveys, short reports);
  • Providing logistical support (e.g., venue, audio-visual, catering, travel support);
  • Providing administrative support (e.g., scheduling meetings and conference calls, liaising with the ILF Advisory Group, maintaining a contact database);
  • Assisting in the overall planning and evaluation of activities;
  • Other department activities as needed.

Academic Qualifications:

  • Currently studying or recently graduated in public health, international relations, biological sciences, medicine or a related field is highly favourable.

Experience:

  • Scientific or academic writing and desk literature research advantageous;
  • Project management and/or event organization skills a plus;
  • HIV, HCV and/or broader global health exposure beneficial;
  • Advocacy experience valuable.

The incumbent will assist the JIAS Executive Editor in the overall streamlining of the editorial and publishing processes that will take place in 2017.

Main Responsibilities:

  • Developing and implementing solutions to improve the editorial structure and workflow;
  • Overseeing the transfer of the journal’s production to its new Publisher/Consultant publisher;
  • Supporting the revised editorial process for manuscripts submitted to the journal including peer review in line with the journal’s processes and procedures.

Details of Internship:

The internship is based at the IAS Secretariat in Geneva, Switzerland. He/she will report to the Acting C&E Manager and will work closely with the Associate C&E Project Manager responsible for the Volunteers project. Growing the Leaders of Tomorrow Fellowship Programme - Call for applications

The Growing the Leaders of Tomorrow Fellowship Programme is a mentored, 2-year research training fellowship designed to enable outstanding sub-Saharan African early career researchers with a doctoral degree or a doctor of medicine degree to strengthen their research skills, to learn new research techniques and to further deepen expertise in paediatric HIV.

Awards will be for up to US$ 70,000 in total, including indirect costs and travel expenses. It is expected that the majority of the award will be used for the fellow’s stipend, distributed over the two-year fellowship period. The award will be made available to the mentor’s host institution.

Mentor’s eligibility criteria

The mentor must:

  • Be either an Associate or Full Professor or Chief/Principal Research Officer with an established position at a research institute in SSA;
  • Submit their CV, including publication record in paediatric HIV clinical research;
  • Demonstrate that they are the principal investigator of the proposed research project that the fellow will be contributing to and that direct research expenses and adequate infrastructure for the period of the fellowship will be provided for by other grants or sources of funding;
  • Establish a mentorship plan that demonstrates how the fellowship will contribute to skill building and professional development of the fellow, as well as ensuring successful completion of the research project.

Fellow’s eligibility criteria:

  • The fellow must be a junior investigator with a doctoral degree (PhD) or a doctor of medicine degree (e.g., MD, MBBS or equivalent) obtained no more than ten years before the application deadline and who has less than five years of relevant research experience.
  • The fellow must hold a passport from a country in SSA[1].
  • The fellow must fulfil one of the following criteria prior to the application submission deadline:
    • He/she is a clinical/research trainee (e.g., research or clinical fellow, senior medical resident/Registrar) at an SSA academic institute or an SSA institute whose primary mission is research.
    • He/she has a faculty or comparable position (e.g., assistant professor, lecturer, research officer) at an SSA academic institute or an SSA institute whose primary mission is research.
    • He/she is working at an SSA organization with adequate research infrastructure to undertake the proposed research activities.
  • The fellow (and mentor) must demonstrate that funding to support the direct costs of the proposed research is available.

The research project should demonstrate the potential to contribute to the optimization of HIV diagnosis, prevention, treatment and care for infants, children and adolescents affected by HIV in sub-Saharan African countries by responding to identified clinical research gaps.

Purpose of the Position:

The Journal of the International AIDS Society (JIAS) is an online, scientific journal serving the dissemination of essential and innovative HIV-related research. JIAS is actively involved in capacity building of less-experienced authors offering professional development opportunities such as workshops and online courses.

The incumbent will be responsible for supporting the editorial process of JIAS, in particular coordinating publication of special issues and communication as well as assisting the editors in various tasks including the peer review process.

Main Responsibilities:

  • Manage and expedite the peer review process under the guidance of the Executive Editor as well as with the support of the deputy editors, including inviting and following up with reviewers daily;
  • Maintain daily the journal’s electronic file system, online platform and manuscript database;

Purpose of the Internship:

Under the direct supervision of the ICT (Information Communications Technology) team, the internship will consist of participating in the 22nd International AIDS Conference (AIDS 2018) ICT onsite Project in interacting with the different project constituents and its suppliers. The Global Village of the 22nd International AIDS Conference (AIDS 2018), open to registered conference participants and the general public, will provide learning and interactive open spaces to share experiences of diverse communities affected by and responding to HIV. The AIDS 2018 Youth Programme will aim to support the meaningful participation of young people throughout all levels of the conference, including planning and development. The programme will also aim to ensure the visibility of youth throughout the conference, including the Global Village.

The Project Manager, Global Village and Youth Programme will coordinate and support the Global Village and Youth Programme team as well as plan, organize and implement activities for the conference based on guidance from the Global Village and Youth Programme Working Group.

The ILF promotes and facilitates the full contribution of the biomedical industry to the global HIV response with a focus on expediting the development, approval, uptake and utilization of HIV prevention, diagnostics and medicines. The ILF collaboration platform focuses on two areas: paediatric HIV and regulatory affairs.

The HCC initiative works to advance research, advocate for sound policies that allow equitable access to care, and remove structural barriers in at least three areas: HIV/HCV co-infection, TB/HIV co-infection and HIV/NCDs co-morbidity. HCC recognizes synergies as well as overlapping populations and service delivery needs across these diverse disease areas.

Main Responsibilities:

Potentially also including, but not restricted to:

  • Participating in the organization of thematic roundtables on emerging topics in global health (e.g., regulatory pathways and clinical trial design for long-acting pre-exposure prophylaxis and vaccines)
  • Contributing to the development of policy briefs aimed at incentivizing the development of priority paediatric ARV formulations
  • Performing a broad consultation of the biomedical industry on their perception of the WHO Prequalification Collaborative Procedure for Accelerated Registration
  • Participating to the development of a needs assessment at the intersection of HIV with non-communicable diseases
  • Developing the outlines of information briefs, aimed at policy makers, on HCV re‑infection in PWID in different settings
  • Drafting technical documents (e.g., briefing notes on organizations and persons, concept notes for different activities, slide sets, minutes, surveys, short reports)
  • Providing logistical support (e.g., venue, audio-visual, catering, travel support) to pre‑conferences prior to the 22nd International AIDS Conference (AIDS 2018)
  • Providing administrative support (e.g., scheduling meetings and conference calls, liaising with the ILF Advisory Group, maintaining a contact database)
  • Assisting in the overall planning and evaluation of activities
  • Other department activities as needed.

Academic Qualifications:

  • Currently studying or recently graduated in public health, international relations, international law, biological sciences, medicine, pharmacy or a related field is highly favourable.

Experience:

  • Scientific or academic writing and desk literature research advantageous
  • Project management and/or event organization skills a plus
  • HIV, HCV, TB, STIs and NCDs and/or broader global health exposure beneficial
  • Advocacy experience valuable.

Skills/Competencies:

Details of Internship:

The intern will be based at the IAS Secretariat in Geneva, Switzerland and report to the Conference Programme Manager. The internship is full-time and will last 6.5 months from 15 January 2018 to 3 August 2018.

Purpose of the Internship:

The 22nd International AIDS Conference (AIDS 2018) will be hosted in Amsterdam, Netherlands 23-27 July 2018, under the theme Breaking Barriers Building Bridges. More information on IAS can be found at www.aids2018.org.

The Conference Intern will be responsible for assisting the Conference team in the preparation of the AIDS 2018 Conference.

Main Responsibilities:

· Support the conference team in inviting session chairs and speakers for conference sessions (Jan-July, 20 days): preparing invitations, compiling and tracking replies, inviting back-ups, sending session links and guidelines, answering all general inquiries

· Support the conference team by drafting and prepping relevant communications to committee members and session participants (emails, key documents, etc…)

· Support the fraud hunt process, identifying potentially plagiarized submissions (February – 5 days, May – 5 days)

· Administrative tasks such as updating documents, organizing online archives

· Support preparations of committee meetings: logistics, drafting documents and PowerPoint presentations

· Read and respond to inquiries to the conference inboxes

· Support the conference team in the CME application process (drafting document, support to managing conflict of interests form for session participants, etc…)

· Support the conference team inputting and updating the session planner (session database)

· Setup and write minutes from meetings

· Provide onsite support for the AIDS 2018 Poster Exhibition, including logistical support in the poster exhibition area to ensure presenters are able to display their posters, tracking no shows and responding to general questions

Purpose of the Position:

The incumbent will play a senior role in the communications team, leading the strategy, writing and content production for the organization. We are looking for a savvy, seasoned, strategic communicator with a strong understanding of the scientific and political field of the HIV/AIDS and/or global health space.

Main Responsibilities:

  • Lead development of IAS content, including op-eds, blogs, speeches, press releases and publications
